Swim Meets Overview

What is a Swim Meet?

Swim Meets are competitions hosted by swim clubs, MSO (Provincials), or MSC (Nationals) at which swimmers have the opportunity to race each other in various events.

Swim meets are a great team experience; they're a place where the whole team can spend time together. They also provide a great opportunity for swimmers to see progress from their efforts in practice, and socialize with their team mates, family and friends.

How do I sign up for a Swim Meet?

Swimmers can enter a meet directly once they SIGN IN.

Coaches can enter a club's relays too once they SIGN IN.

 


 

Planning, Organizing and Running A Swim Meet

The following information and procedure will assist you in running a swim meet:

    1. REVIEW MSC MEET RULES
      When planning, organizing and running any MSC Swim meet, you need to be familiar with the MSC RULES. They outline the rules that govern all types of swim meets in MSC and can be an excellent source of information on elements of a meet you may not even have considered!

    2. ADD YOUR MEET TO THE MSO MEET SCHEDULE
      Once you are familiar with the MSC Rules you need to pick a meet date. To do this you should first check the existing MSO Meet Schedule to find a free weekend and consult with your facility of choice for availability. Once you have confirmed your pool booking, add your meet to the MSO Meet Schedule by having the Club President, Treasurer or Registrar SIGN IN and use the "CREATE SWIM MEET" function in their menu. All that is required to do this step is your meet managers email, date of the meet, and name of the pool. Once submitted the MSO Competition Chair will review the date and either approve it, or follow up with the club directly.

    3. BUILD YOUR MEET PACKAGE
      You can now BUILD YOUR MEET PACKAGE online. This can be done immediately following step 2, or at a later date. Using the met package form will allow you to define all the details of your meet, like who your referee will be, which events you will host, when your entry deadline is and how you will score you meet. You can go back in and edit your meet package as much as you like up until you request a sanction number.

    4. SANCTION YOUR MEET
      In order for your meet to be supported by the MSO website, for the results to be considered "Official" and for MSO insurance to cover your meet, you must sanction it. Once you have completed creating your meet package, you should REQUEST A SANCTION NUMBER IN THE MEET ADMINISTRATION AREA. The MSO Competition Chair will review your meet package, and will sanction the meet by issuing a sanction number, assuming the meet and meet package are acceptable. Once you receive a sanction number your  referee will be notified by email about meet details and your meet invitations including a link to your meet package will be email to all the invited clubs.

    5. FILL YOUR OFFICIALS and VOLUNTEER POSITIONS
      It is also a good idea at this time to start recruiting volunteers and officials to assist in running your meet. Officials and Volunteers can sign up for positions directly through your online meet package, and you can also enter them through the MEET ADMINISTRATION AREA. You can also download this form and take it to the meet to use it for check-in.

    6. SET UP YOUR MEET COMPUTER, IMPORT ENTRIES and PRODUCE HEAT SHEETS
      Once the entry deadline for your meet passes you can DOWNLOAD THE MEET ENTRY FILES IN THE MEET ADMIN AREA and import them into HY-TEK on your meet computer.

    7. RUN THE MEET
      On the day(s) of your meet you will need readily available copies of all the Swim Meet forms. You can DOWNLOAD THE SWIM MEET FORMS on the MSO FORMS PAGE; descriptions of these forms and their purpose is available on this page. It is also a good idea to be familiar with and have a copy of the Masters Swimming Canada Rulebook handy the day of the meet. You can DOWNLOAD A COPY OF THE MASTERS SWIMMING CANADA RULEBOOK from the Masters Swimming Canada Website.

    8. COMPLETE THE MEET REPORT and UPLOAD THE RESULTS
      Once your meet is complete you will need to COMPLETE AND SUBMIT A MEET REPORT IN THE MEET ADMIN AREA; once this is complete you can then UPLOAD YOUR MEET RESULTS IN THE MEET ADMIN AREA.

    9. START PLANNING FOR NEXT YEAR!
